Why Fibox needed to modernize reporting

Operating in 12 countries with multiple subsidiaries, Fibox faced significant challenges in financial reporting and consolidation. Monthly reporting and year-end closing were handled as separate manual Excel processes, with different reporting models, schedules, and chart of accounts across subsidiaries. Four separate accounting systems delivered data with varying quality, and foreign subsidiaries operated largely independently. As a result, reporting was slow, inconsistent, and lacked standardized practices, making it difficult to get reliable and timely group-level information.

“We wanted to move away from Excel because it tied up resources and slowed down reporting. Our goal was to have faster processes and consistent information across the group,” says Tiina Kanerva, Group Financial Controller at Fibox.

Transformation with IBM Controller and Planning Analytics

In early 2024, Fibox evaluated different consolidation and reporting systems with the goal of completing the year-end close in a new solution. During the spring, the team mapped and documented all Finnish finance processes, reviewed existing and missing controls to create a control catalogue, and developed a group Accounting Manual to be rolled out across subsidiaries. Fibox also decided to bring in an external consultant to strengthen the project. Before the summer, Fibox signed an agreement with Intito to implement IBM Controller and IBM Planning Analytics, with the official project launch taking place after the holiday season.

A key part of the implementation was creating a group chart of accounts and mapping local accounts, which required close cooperation with subsidiaries. The data flow between ERP systems, Planning Analytics and Controller was established to ensure smooth integration and consistent reporting.

“The new setup forced us to align practices across subsidiaries, which improved accuracy and increased transparency,” says Mikko Mäkinen, Group Controller at Fibox. This gave Fibox a single source of truth for financial data across the entire group.

Cultural impact across subsidiaries

The project also strengthened group-level control and introduced more harmonized processes across the companies. “The subsidiaries took the changes really well. Even when we needed their input for things like mapping local charts of accounts, they were helpful and constructive. There was very little resistance, and overall they have adapted smoothly to a stronger group-level control,” says Tiina Kanerva.

Faster, more reliable reporting with IBM Controller and Planning Analytics

The new solution has significantly reduced manual work, improved data quality, and accelerated reporting cycles. Group consolidation that once required extensive Excel handling can now be managed directly in Controller, with automatic checks and audit trails ensuring reliability. At the same time, Planning Analytics enables scenario planning and forecasting with the same data foundation, giving management a clearer view of the business.

Planning Analytics is now used for sales, cost and P&L budgets, with standardized forecasting across all companies. Fibox also uses it to create more detailed internal view of the same data, including cost centers and specific business areas. Internal and external flows are integrated with matching entries, giving management a more accurate view of performance. By combining the best capabilities of Controller and Planning Analytics, Fibox now has a unified and streamlined way of managing financial processes across the entire Group.

“Having Controller and Planning Analytics working together has been a big improvement . We now have one consistent data flow from actuals to forecasts, which saves time and gives us much more confidence in the numbers,” concludes Mikko Mäkinen.

A foundation for future development

Fibox now has a solid foundation to continue developing its reporting and planning together with Intito. Next steps include further refining local charts of accounts and expanding Planning Analytics to ESG reporting, ensuring the system can support both current needs and future requirements.

In 2023, Vianor began on a major ERP renewal project. Along the way their ambition grew beyond what standard ERP systems could not offer. They wanted to achieve higher level of detail and automation required for purchase price calculation and product cost management.

Transformation

The Price Engine was designed to calculate purchase prices both hierarchically and automatically. Pricing Engine key factors are import costs, supplier contracts and currency fluctuations. Calculated factors construct a baseline for inventory values. Price Engine feeds these factors into sales price and inventory valuation structures across all countries.

Why Vianor needed a new approach to pricing

Vianor operates in three countries and multiple currencies, managing more than 250,000 products that require daily valuation. For years, purchase pricing data was stored in over 50 Excel files, making updates slow, resource-intensive and error-prone.

“The complexity of managing purchase prices was simply too high for us to continue in Excel. We needed a system that could automate the process, handle the scale, and deliver accurate data for running the business,” says Janne Lindström, Head of Solutions at Vianor Holding.

“For me, this was enjoyable because it was something different. We hadn’t built a model like this before, and it was exciting to dive into Vianor’s purchase pricing world and create something entirely new together,” says Joonas Keskinen, Senior Consultant at Intito.

Challenges of legacy financial systems and on-premises IBM Controller

For years, TGS relied on an on-premises IBM Controller system running on an outdated SQL 2008 database. The aging infrastructure led to system instability, increasing the likelihood of downtime due to old servers and legacy software. Mustad Eiendom needed a reliable and scalable consolidation solution

Mustad Eiendom embarked on a journey to modernize its consolidation and reporting processes to support its aggressive growth strategy. With plans to acquire and establish multiple entities swiftly, Mustad needed a reliable and scalable solution.

The implementation project started with a kick-off meeting to understand the status of the consolidation as it was and to understand the goals for the consolidation process renewal. A detailed design structure document was approved by Mustad Eiendom, followed by the build phase, which required minimal customer involvement. Historical data for Q2 and Q3 2023 was consolidated into the new system, preparing Mustad Eiendom for year-end reporting.

Budgeting and forecasting with Excels was laborious

Business Finland used to do budgeting and forecasting in Excel. Switching to a dedicated solution was intended to reduce manual work, save time, and make the process more straightforward and efficient. One of the objectives was also to have one common budgeting solution for the two sides of Business Finland; the agency and the company.

“Excel is good and versatile, but there are some risks. We were always a bit nervous about getting the data transferred correctly from Excel to our reporting system. Our hope was that a dedicated solution would allow us to do more varied and detailed budgeting, as getting rid of the cumbersome Excels would free up time for other things,” says Riikka Rantsi, Controller at Business Finland.

IBM Planning Analytics meets the needs of Business Finland’s budgeting and forecasting

The search for a suitable solution started with an RFP. “We already noticed during the market dialogue that Intito has understood well what we wrote in the RFP. We operate in 40 countries, so the budget has to be adjusted from many angles. We immediately saw that with Planning Analytics we can do what we want and need,” says Kerkko Lamppu, Controller, Business Finland.

Through tendering, IBM Planning Analytics Cloud (LINK) was selected as Business Finland’s new budgeting and forecasting solution. “We had put a lot of effort into the tender process and had carefully defined the requirements. As a result, we definitely got the system and partner we wanted,” delighted Riikka Rantsi says.

Intito worked closely with Business Finland during 2023 to build a budgeting and forecasting solution, including workforce planning, that would meet Business Finland’s needs. Planning Analytics is directly integrated with Business Finland’s data warehouse, which is used to transfer data from other systems to Planning Analytics and from Planning Analytics for reporting. This integration facilitates data management. “We are particularly pleased with the workforce planning built into IBM Planning Analytics. It became very responsive to our needs,” says Tiina Seppelin, Accounting Manager at Business Finland.

End users adopted the new solution without resistance to change

The move from Excels to Planning Analytics made budgeting and forecasting more transparent, clearer, faster, and consistent across the organization. Now the entire finance team works in the same platform. Many manual steps could be reduced, saving time for Business Finland’s experts to analyze figures and do other more value-added work. After one successful budgeting round, the mood is positive. “The time savings will allow us to help cost center owners in the future to produce better quality and more accurate budgets and forecasts,” says Kerkko Lamppu.

“What is significant is that this upgrade is the first and so far the only one of its kind in the sense that our end users have been excited to go into the new solution all by themselves. There was really no resistance to change at all in this first budgeting phase. I have offered to help, but the response has been that the numbers are already there. I think this is an obvious demonstration of the ease of use of IBM Planning Analytics,” says Riikka Rantsi with a smile.

Business Finland plans to further develop the solution after the first round of forecasts

In the past, budgeting has been very centralized and financially driven. In moving to the system, we wanted to engage cost center owners more in budgeting and forecasting. In the spring 2024 forecasting round, we plan to involve them in the process, which will help ease the workload of the finance team. The new solution will have around 80 end users,” says Tiina Seppelin.

“We have been very satisfied with both the system and Intito’s expertise. I can see that we will continue to develop the solution together, and once the first round of forecasts has been completed we will start to think about how we can get even more out of Planning Analytics when considering Business Finland’s overall operations and needs. For example, IT cost planning has been considered as the next target for expansion,” Riikka Rantsi reflects on future plans.

The finance team saves significant time and results are more straightforward. The renewal cut unnecessary steps and the process became more automated. The foundations of the new consolidation solution were laid in such a way that in future the work involved in changing structures will be kept to a minimum.

The renewal was surprisingly easy. We were able to cut out steps and reports that were unnecessary for us and automate manual parts of the process. We are now better able to focus on the essentials and content. Further development will be easier, and we will continue to use Intito’s expertise in the future.

Raisio is an international company specialized in healthy, responsibly produced food and ingredients. Raisio’s shares are listed on Nasdaq Helsinki Ltd. The old group accounting and consolidation solution did not meet Raisio’s needs

Raisio was looking for a partner to renew its group accounting and consolidation solution. The changed company structure and the technical solution of old system did no longer met today’s business requirements. Raisio reviewed and compared several consolidation solutions during 2022, but the alternatives were found to be both more expensive for their features and did not meet Raisio’s identified future group accounting needs.

“Raisio has had a Controller for as long as IFRS reporting has been in place. We were very happy with IBM Controller, but we wanted to go through what information we collect and report, whether everything is still relevant,” Piia Lindroos says, and Sirpa Virtanen, Head of Group Finance at Raisio adds, “The long-standing system was built to serve a more complex Raisio. Since then, the company has changed structurally. We wanted to simplify that old solution to better meet Raisio’s needs today and in the future.”

A knowledgeable IBM Controller partner to help you change

Raisio had discussions with Intito, the leading IBM Controller expert in the Nordic countries, and the discussions revealed a deep consolidation solution expertise and a customer-oriented partner. The discussions eventually led to a collaboration agreement where Raisio selected IBM Controller Cloud technology and the Intito team to help with a modernization project to move to a cloud-based platform all at once and work with Intito to modernize the consolidation solution for today.

The controller was also found to work well with Raisio’s SAP S/4HANA ERP solution, and the solutions had their own natural roles in the architecture. The cloud solution was also seen to ensure that the solution remains up-to-date, and the standard solution offers the possibility to buy expert services for development and support.

The renewal project was launched in Q1 2023 with the aim of making the first reporting round live in Q3 2023. In the end, this goal was achieved more easily than initially expected, due to the smooth cooperation with Intito’s Controller team. Intito played primarily an advisory role in the project, helping Raisio’s own finance team to implement the new consolidation solution and configure it to meet Raisio’s requirements.

“We had practiced the June half-yearly report first with the old system and then with the new one. At this stage, the accountants also had access to the solution and practiced reporting for their own companies. This meant that we were well prepared for the September reporting. Overall, the project went really well and the transition went smoothly,” Sirpa Virtanen says of the collaboration.

Renewed reporting process saves significant time for the finance team

During the renewal, the reporting process was redesigned, saving the finance team significant time and resulting in both faster and more straightforward reporting process. The measures taken were to cut unnecessary steps, automate things and focus on relevant content and items. The foundations of the new consolidation solution were set up to minimize the workload of changing structures in the future – so there was a significant increase in flexibility. Intito brought best practices and automation capabilities to the project, which enabled Raisio to successfully upgrade its consolidation solution on time and on budget.

“Our reporting process became much smoother and faster. We can now get to the finish line in one go. For example, we made ready-to-use presentation reports to support the group accountant. We also cut down on a large number of Excel files.” Sirpa Virtanen explains the results of the successful project.

The next steps for cooperation have already been decided

After the implementation of Controller Cloud, Raisio and Intito are focusing on the development of a cash flow statement, which is an excellent addition to the financial toolbox. In addition, the automation of SAP integration will be further developed and a completely new integration for internal reporting will be built.

“The renewal was surprisingly easy. We were able to cut out steps and reports that were unnecessary for us and automate manual parts of the process. We are now better able to focus on the essentials and content. Further development will be easier, and we will continue to use Intito’s expertise in the future.” Piia Lindroos says with a smile on her face.
